Preparing and Importing an Excel Spreadsheet for Mailchimp

A Web Design Pro.co step by step guide

Introduction

The task of preparing an excel spreadsheet for importing e-mail addresses into Mailchimp can be completed using the process below

The Excel Spreadsheet

Usually, the excel spreadsheet will be formatted with the e-mails being presented in a single cell in one row.

Excel in a row

We need to change this so that the e-mail addresses are in a column and also that the headings at the top of the spreadsheet all conform with the Mailchimp rules for import.

To achieve this we need to complete the following

Highlight the cell in A1

And Select DATA and TEXT TO COLUMNS

Excel Text to columns

And you will then see the following screen where you need to select DELIMITED

delimited in Excel

Click NEXT

Now you will be presented with the following screen where you need to select the tick box next to semi colon

Once you have ticked the box the DATA PREVIEW will change

You can now click next and you will see this screen

Ensure the default of GENERAL is selected and then click FINISH

You will now see that each e-mail has been separated into it’s own separate column

OUR NEXT STEP IS TO CONVERT THESE E-MAIL ADDRESSES INTO ROWS

The Excel Spreadsheet – Convert Column to Row

So with our e-mails in their separate columns, we need these e-mails converting to a row

So, we now highlight the row

And then right click and click copy

Then select the second cell in  A2

right click again and then click the Transpose option

And all the e-mail will now be moved into separate rows

We need now to delete the Text in Row 1

Highlight the row again

and Click the Delete key on your keyboard.

 

 

The Excel Spreadsheet – Formatting the spreadsheet for Mailchimp

Now that the DATA is formatted the way that we want it to be, we need to add a heading to the first column so that Mailchimp will allow us to import the e-mail addresses.

But first the formatting of the row may need clearing.

To do this, select the first Row (A Row)

And then on the HOME tab click the small dropdown arrow next to the clear button and select Clear Formats

Then type into the cell in A1 immediately above your email address the exact wording and spacing below

 

The Excel Spreadsheet – Saving the worksheet or file for Mailchimp

If the spreadsheet only has one worksheet in it then Click File and Save As and then select .CSV comma separated file

If the spreadsheet has more than one worksheet – COPY The entire worksheet to a new spreadsheet by selecting all the data by clicking in the top left hand corner of the spreadsheet 

Right Click anywhere on the spreadsheet and Click COPY

Then Click FileNewBlank Workbook and right click in Cell A1 and click Paste.

Then Save the file as a Comma Separated File with a file name that you will recognise.

If you get this error message, just click Yes

Now you’re ready to import this into Mailchimp

The Excel Spreadsheet – Importing a list into Mailchimp

Login to Mailchimp and go to the following link:

https://kb.mailchimp.com/lists/growth/import-subscribers-to-a-list

Once you are on the above link scroll down to where it says IMPORT TO MAILCHIMP and follow those instructions.

You will now choose the CSV file that you created and add it to the list of your choice. For example,if you created a list called Maidstone2018 then import this list into the correct list by clicking Lists in Mailchimp, and then select the list of your choice, click ADD CONTACTS and IMPORT CONTACTS

Select the CSV format and select the file that you have saved and scroll down to the bottom and click IMPORT

You may see this message on completion which will tell you how many of your e-mail addresses were already in your subscription list.

Login to WordPress

Login to your WordPress Dashboard in the usual way Navigate to the left hand menu

Click on Products and then click “All Products”

Hover over the product thumbnail area of the product that you know is nearest to the one that you want to create and click duplicate

The Title and The Permalink

Once the Duplicate Page has been created, Edit the Title and then click save draft

Check the permalink has changed to the title with dashes in between each word to make the web address unique Wordpress permalink

If the permalink hasn’t changed then edit the permalink ensuring there is a dash/hyphen between each word and then click OK

The Description and the CATEGORY

Replace the description with something that will be meaningful for your customer

The Category

Then scroll down the product and head over to the right hand side of the product where the category section is.

Choose an Existing Category

Either search through the categories and choose an existing category that the product matches too or create a new category.

If you need to create a new category then click on “Add new Category”

Enter the name of the category and then decide whether it should be the child of a parent category.

For example, the parent category for a fashion shop would be woman or man and the child category would be skirts, dresses, trousers etc

Once completed click on “Add new category”

you will then also need to follow this tutorial to add this category to the menu. (this will open in a separate window).

The SEO TITLE, The SLUG and The META DEScription

The YOAST SEO Title

Move back over to the left hand side and click on the SEO Title field with %% in it at the beginning Change this something like [the name of the product, a short description to sell the product, and then the name of your website. e.g Tie Front Shirt Dress – Beautiful Evening Dress – My Clothing Website Remember this will be how your post will look on the results of a search in Google, Bing and Yahoo search engines Yoast SEO Title

The SLUG

DO NOT DO ANYTHING TO THIS – You have already set this at the beginning and there is no need to change anything

The META Description

The Meta Description is what shows underneath the SEO title in the Google, Bing and Yahoo search engines and should contain a great description of the item that you are selling.

Removing a Gallery Image

Hover over the current pictures and a cross will appear, click this cross to remove the current images.

After you’ve removed the picture, simply click on ‘Add Product Gallery Image’ to upload your new images from your media library.

In this section, under Inventory you have the option to add a unique SKU number for your product, and set stock management levels so that you and your customers will be informed how many you have left of a particular product. Linked Products

Under both Upsells and Cross-Sells, you have the option to begin typing the title of another of your producs that you would like to sell as an Upsell or a product that could accompany this product as a Cross-Sell. When the customer buys your product they then have the option to add more items to the basket that will compliment their order. Woocommerce Linked Product details

Attributes

Here is where you can set the attributes of a product e.g. Colour and then the colours that you have for that product like Pink or Navy. You can then set the sizes that you have available. So, the attribute would be Size and the values could be sizes, 8, 10, 12 etc. You need to use the pipe key | to separate the values though e.g. 8 | 10 | 12 | 14 Make sure the visible on the product page and used for variations options are ticked. Don’t forget to Save attributes at the end.

To remove the existing image, just hover over the image and click the X. You can then add a new image. Having set your attributes first, you can then set the price of the product if it differs from another colour or size. So, when a customer selects this size and colour, the price will reflect that option. Again, you can also manage stock at this level too.

Under the advanced section you can add a Purchase note or set where the product appears in the menu order. Setting the Menu order at 0 will ensure that it appears first in the menu. You also have the option to allow your customers to review your products here.

Back-stabbed for years, IE has succumbed to the simpler and feature rich Google Chrome. Now, let’s be honest. Does anyone still use IE? Really, you do? Have you been living on Mars? Do you know what you have done?

Having been overtaken by Google’s attempt at a web browser, IE is now on course for the same software retirement home that has Friends Re-united, MySpace (I know this one is still going, but why?) and ICQ (so is this one but it looks a little doddery) as it’s residents.

Somewhere, on a planet in space, Wall-E is making room for the 18 year-old browser that Microsoft has irritatingly built into (and then insisted we use) all of it’s OS’. Seeing the super-imposed lower case ‘e’ is like the moment in The Omen when Damien appears and decides he’s going to kill someone. The staccato choir starts and instead of fondly remembering the waves from the Old Spice advert, we gulp as the light blue icon plunges the memory on your machine into quicksand. Your desktop begins to moan, the CPU fan spins incessantly trying to administer a cooling balm to a patient that is about to go into a coma. You know the Blue Screen of Death is coming, there is no escape.

For years, we yearned for a replacement as Internet Explorer became the red weed from the War of the Worlds: it had now transmuted into a virus and those in the know even gave up trying to delete it from their computers as it just kept coming back. We removed the shortcut, but we knew it was still there lurking in shadow ready to be exploited by the hacker community.

There was nothing anyone could do. The nightmare continued. Microsoft even tried to re-badge it in Windows 10 (Microsoft Edge – Yuk) and every now and again I mistakenly click on it. For a brief moment, my heart rate increases. Did anyone see me do it? Am I now a white walker doomed to spend the rest of my life as a walking zombie? I was sure that I had pinned Google Chrome to my taskbar, not that descendant with unhealthy genes.

I wait for the flood of e-mails to hit my inbox as I have given all my details out to the interweb; for the phone to ring and ring; for the men in black to knock on the door and take me away! “It was a mistake officer! I didn’t mean to. My hand had Jaffa cake chocolate on it and it slipped”.

“Of course it did, Sir. Of course it did.”

Web Design. Would you pay as much as Victoria Beckham?

 

Of the thousands of web developers and designers in the world there are few that would argue that being paid £670,000 for creating and maintaining a website would not be highly desirable. We would all like clients like Victoria Beckham, wouldn’t we? Pots of money to spend on your services; an easy target for those with great sales speak. As IT professionals we have more abbreviations in our arsenal than there are hits on the latest Adele Video, and we can wheel them out in any contract negotiation, scratch our chin, shake our heads and trot out an unreasonable figure. But £670,000? That’s just slightly less than builders are getting for a one bedroom flat in Maidstone these days.

How much is a Web Designer worth?

 

But are we worth it? Is any website worth that kind of investment? In a world where footballers are grossly overpaid and health professionals are not, where should web developers and designers stand? After all, we train harder than any of the aforementioned athletes, are bothered with all kinds of unrealistic demands from over expecting customers, and generally work long hours. Should we not be renumerated with similar riches to England’s own ‘Golden Balls’?

I would say not. Yes, we are overworked and underpaid (big aah required at this point) but no more than any other professional. There are sometimes very complex problems that we have to deal with, but we are not talking about saving someone’s life here unless the website has key information on it – different subject. An e-commerce site that has gone badly wrong will have an impact on business. Imagine Amazon having issues taking payment or the .Gov website being down stopping people from paying for the joy of scaling the Dartford River Crossing that must have been paid for so many times now we could build another 30 of them? These organisations cannot function without the IT. We are important and would like to be treated as such, but compared to a service Police Officer we are just a support function. In the days where servants made the breakfast, cooked the dinner and polished master’s shoes, we would have slept in the same quarters and eaten in the same kitchen. We would have been a blacksmith creating robust shapes from wrought iron and steel sweating away in the search for perfection. We were always behind the scenes while the real work took place on the platforms we provided.

In the 21st century we are the descendents of those trades having turned into hunched versions of Gollum: no-one can see ‘the precious’ until it is finished. We are artists ‘darling’ using Photoshop, Illustrator and Inkscape; we are WordPress Web builders, crafters of beautiful page design using PHP, CSS3 and HTML5.

And that is where we fit in. There will always be an expectation of a quick fix or the website in a day, but the reality is that the real work to complete a comprehensive set of lightning fast, secure pages that are mobile responsive and beautifully rendered that the great God, ‘Google’ would approve of is not as easy as it looks. Nevertheless, we will continue to obfuscate the true cost of any project with our lexicon of IT descriptions that even Scotty from Star Trek would be proud of.

How much would Web Design Pro charge me?

 

Thankfully at Web Design Pro.co there isn’t that kind of approach (Cue video of delighted customers marvelling at their new site). I will always attempt to use as little jargon as possible whilst trying to outline what services that I provide during the free consultation. But you should be prepared for a lengthy discussion about your new website! I want to make sure that what I create is what you have envisaged. And then once the work is complete present you with a invoice that we agreed on after our first meeting and not one that has spiralled out of control.

About Me (Sam)

I’m a little newer to the scene. I finished my degree in History a year ago and have been doing web design ever since… I know right? History? Web Design? What?

Let’s be honest, there’s not a whole bunch of careers that link to history… I figured I’d utilise my technological savviness and turn my attention to web design (as hard as it was to turn down the opportunity of studying relics in museums).

Needless to say, I jumped at the opportunity to learn something new and progress in a career. I started around 6 months ago and I haven’t looked back. I’ve learned an enormous amount and continue to add to that knowledge daily.

Things have been great so far, the unwavering blend of youth and experience seems to be working a charm. Web Design is challenging, rewarding, excruciating (oops) and ever evolving, what’s not to love?

Anyway, aside from watching The Social Network and balking at the abundance of money in which Mark Zuckerberg made from a similarly themed career, (I said similar ok) we’ve progressed a great deal. We’ve recently created a new site and are extremely happy with the end result, which of course we hope you are too.

We work very hard here at Web Design Pro, and believe that our niche revolves around our constant will to improve, and to ensure that every customer receives their own original experience (and a shiny new website).

Professional Life

I am now fully comfortable in all aspects of WordPress and the Divi theme. Since my inception in the role, I have completed over 8 websites, all serving different purposes, making use of coding knowledge I have acquired which involves HTML, CSS, Javascript and jQuery. 

Other Interests and My Family

In my spare time I enjoy Online gaming, Football and Tennis. I recently attended an Online gaming event in Birmingham: the Call of Duty Championships, where endurance, dexterity and teamwork are the key factors to success.

I have been working in IT for 17 years starting with front line support at Kent Police and moving into the management of IT Changes through transition using the disciplines of the ITIL Framework. I also designed, developed and maintained the IT Department’s Service Management Catalogue using Atlassian’s Confluence system whilst jointly overseeing the development of the Force’s datacenter. The team I worked with was given an industry award for our efforts in 2012. Phew!

Other Interests and My Family

In my spare time I decided to hone my web skills whilst writing short stories and three novels. In 2014, I left my role in the public sector and set off around the world with my wife taking in such incredible places like Australia and New Zealand. I created a travel blog during our adventure called Travels Over Tribulations which has been very successful. In early 2018, my son, Sam joined me to become part of the business and is now busy creating imaginative designs for our customers.

Professional Life

In late 2015, I decided to become a freelance web designer and was introduced to my first client in January 2016. Since then, I have created and supported all the sites that you see on our portfolio page. I have met some amazing people through this role and love to hear about new or re-vitalised business ventures. I look at your businesses entire digital presence online and know some great tricks to place your brand in front of new customers.
I am a big fan of open-source software like Inkscape which is similar to Adobe’s Illustrator program. I use this to create logo’s and banners for web sites: it’s an excellent tool. I also use Blender which is a mind blowing tool used by many graphic designers and animators to create welcome videos such as the one that visitors see when they visit the homepage of Web Design Pro I enjoy the one to one relationship with my clients and believe in providing a great service from the beginning of the project to the end.
